Outlined below is a brief explanation of the new Points-Based functionality which can be used to monitor important Residency, Visa and Work Permit data for all of a company's employees. The data is held on the Residency Status infotype 0048.
The Data
Employees will fall into one of three broad nationality groups
- UK Nationals.
- EEA Nationals -includes the following countries: Austria, Belgium, Cyprus, Denmark, Finland, France, Germany, Greece, Iceland, Ireland, Italy, Lichtenstein, Luxembourg, Malta, Netherlands, Norway, Portugal, Spain, Sweden and Switzerland.
- Non-EEA Nationals.
Information will be held in 1 key area Passport Information:
- Passport Number
- Expiry date
Information will be held in 1 key area Passport Information:
- Passport Number
- Country of Issue
- Expiry date
Information will be held in 3 key areas Passport, Visa and Work Permit Information, comprising:
Passport Information- Passport Number
- Country of Issue
- Expiry date
- Visa Type
- Issue date
- Issuing Authority
- Expiry date
- Permit Number
- Work Permit Type
- Functional Area
- Expiry date
The Reports
Once the data has been stored for all employees in the company, the corresponding reports will be able to produce information allowing the company to Check Residency Status or Check for changes in Master Data.
Check Residency Status
- The report is run to ensure that all employees have at least a record of passport details.
- In addition, the report identifies whether all non-EEA employees have Visa and Work Permit details.
- Expiry dates of this data are monitored within the chosen reporting period.
- The report can also determine any employees who have expiry dates due within a defined number of days from today's date.
Check for changes in Master Data (run daily)
- This report checks whether Non-EEA nationals have had changes to their data since the last time that data was derived (i.e. yesterday). The fields monitored can be anything related to their personal situation or their work situation.
- Results are given a status of Processed, Rejected or Successful and are further divided into important (e.g., missing data) or medium (e.g. surname changes, DOB changes).
